Everyday lots of people have to deal with agreements, contracts, budget plans, and other similar documents. In this regard, an ability to automate work with such files seems appealing. With this understanding in mind, ONLYOFFICE has been working on Smart Forms intended for optimization of file creation and collaboration in any document flow. In our presentation, we’ll tell you about the newly introduced ONLYOFFICE Forms, new formats (DOCXF and OFORM) built with the purpose of creating standardized document templates and working with them through specifically designed interface elements in ONLYOFFICE Docs. Hello everyone, my name is Alex. I am responsible for the professional services at OnlyOffice. And today I would like to introduce to you the brand new AllForms for Paperwork Automation and Smart Collaboration based on OnlyOffice docs.
I am absolutely sure that everyone in this room knows what is OnlyOffice. But the guys from our marketing team enforce us to tell you the same trivial things every time we are going to tell you something about technical aspects of OnlyOffice.
So let me briefly remind you what is OnlyOffice docs so that you have a better understanding of what we are talking about. Of course, if you don't have it yet, I am sure you have. OnlyOffice comprises powerful editors for text documents, spreadsheets, presentations, and now forms.
OfficeOpenXML is the core file format of our product. OnlyOffice can be deployed on any device, on any platform. A single engine for online, desktop, and mobile applications guarantees seamless switch from desktop, from offline, to mobile, to online.
And vice versa, of course. JavaScript has been chosen as one of the most universal programming languages, and for server-side scripting we do use Node.js.
OnlyOffice is already integrated in more than 30 well-known and widely used platforms. And what's very important, integrated in more than 200 web services written by various developers worldwide. OnlyOffice is available in various distribution forms, packages.
So Docker, Snap, Universal, Corporate Server, Cloud Run, Amazon Image, Kubernetes are supported. OnlyOffice is distributed under HTTP license with a source code available on GitHub. And now to the main part of my presentation.
On January 18, we announced the new major release of OnlyOffice docs version 7. Along with the forms, this update includes lots of new useful features. Useful for users, of course. For example, support for query tables.
Ability to import data for mail merge from local files and from URLs. Hyperlink autocorrections in documents and presentations as well. Support for showing animations and new transition stuff.
Here we talk about the presentation editor. And you are also able to save your slides as PNG or JPG images. Now it is also possible to make audio and video calls right within your editors using Jitsi plugin.
In terms of co-editing, we added collaborators, course of display and version history in spreadsheets. It means that you can see your colleagues current selection with their assigned color, of course. As well as you can check the previous versions and restore them if that's necessary.
Before that was possible only when using OnlyOffice text editors. Now as well in spreadsheets. With comment sorting and applying chronological or alphabetical order, it's now easier to work with comments like by different users.
Version 7 lets you choose between two display options for track changes. Showing changes in balloons when you click on them or maybe tooltips when you hover your mouse over them.
Of course we do always remember about the security. The newest version allows you to protect separate sheets and workbooks with passwords. Version 7 also brings dark mode. It means a light color text against dark document candles.
That reduces the light emitted by different devices. With new keyboard shortcuts, you can quickly access required tool. And in addition to the default existing scaling options, documents can now be autoscaled up to 500%.
What else? With that version 7 release, we opened the source code of the professional editing tools. Document comparison, content controls and sheet views.
So we made them available for the free community version. I guess that's very important. So what are actually all forms? Imagine the functionality of Microsoft Office content controls and flexible settings of Adobe forms.
Make it all online and open the source code. So as a result, we got our only Office forms, our all forms. Now let's have a deeper look at the first version of the product. All forms or only Office forms are ready to fill out online document forms.
What's the idea behind the product? Here we can refer to the CEO and founder of only Office, Lev Banov. We want to help users reduce time they spend on creating standard documents
so that they can optimize electronic document management and automate lots of their business processes. Every day, lots of people have to deal with different agreements, contracts, budget plans, proposals and many, many other similar documents.
And with all forms, you can automate paperwork with all these docs. So where can you use these new forms? First of all, in all only Office products, including web, desktop and mobile versions of our applications.
You can work with all forms in a web-based complete productivity solution only Office workspace. But you are also able to use them within your infrastructure with integrated only Office docs. We have already updated a few of our connectors, making it possible to work with the forms.
Now we do have a connector with full form support for Nextcloud, Oncloud, Alfresco, Confluence, LiveRay, Plone, Hamhub, Nuxil, Channel, Jira and Redmine.
Besides, you can bring the all-form editing to your users within your own platform under your own brand. All forms are, first of all, designed for online, for web-based operating.
But surely we also keep in mind local applications and, of course, an ability to work with the forms online in mobile applications. What is an essential part of our everyday routine? As for the desktop environment, you can create and fill out the forms locally
in our desktop application, which is available for Windows, Linux and Mac operating system. So besides, you can view and fill out already all forms on your Android or iOS device using our mobile application, only Office documents.
And what exactly can you do with all forms? Of course, it's form creation. You can build any form template using various form fields and adjusting them with extended settings. Since you can work with all forms online, you can create a form together with your colleague in real
-time and you are also able to share your forms with other users who can fill them out, obviously, online. At the same time, remember about the established standards used in working with forms
and that's why we made it possible to export all forms to PDF format. Let's discover each step closer. Only Office offers a classic set of fields for form creation. So here you can find text field or text area. It allows inserting any kind of text.
Combo box for choosing one of the predefined values from the list and maybe edit it later the selected value if that's necessary. Dropdown list for choosing one of the predefined values without editing it.
Checkbox for choosing all options that apply. Radio button for choosing only one of the suggested options and image for inserting visuals. Each form field provides its own settings. It's possible to adjust border and background colors as well as change highlight colors.
It is also possible to move and rotate form fields to put it in the right place in your document. It is possible to insert the field in line with your text or fix its position and to mark an important form field as required for filling out.
You can add tips and placeholders to make your form easier for those who will fill it out or maybe to group fields to allow filling them out simultaneously. For text fields there are some additional important settings. It is possible to allow multi
-line entry to specify characters limit and to set automatic field resize to fit the text. Besides, you can apply the comb of characters which spreads the user and of text.
And what's really great, you can build forms together with your teammates. For example, you have to create an agreement and you are going to ask for help one of your colleagues from another department for example.
It's exactly the case. You can create this form altogether in real time or maybe switch to strict mode and work on your part privately only showing the result to the teammates when saving the file. You can also leave comments and mentions, review and track changes, browse version
history and also communicate right within the document editor to speed up the process. For those cases, you can use a built-in chart or maybe telegram plugin or as I already said, make audio and video calls using Jitsi plugin.
So, you can share the created forms with other users using the spatial sharing options in the file menu. Users who are granted the corresponding permission are able to fill out the form online, locally or on their mobile devices.
And moreover, you can export your form to PDF to fill it out later using any PDF editor such as Adobe. And here a question arises. So, what's then the difference between all forms and Adobe forms?
And we can answer. All forms are created primarily for online format. So, you can easily collaborate on your form in real time while creating it. However, we also enable working with forms in both desktop and mobile
applications. Adobe provides full form functionality primarily for users of its desktop version. And one more point. All forms are free and open source. OnlyOffice uses its document editor for working with forms. What does it mean?
It means that if you don't need to use any alternative text editors for creating a document before creating a form, that's really good.
So, you can add and edit the text, maybe complex elements such as, for example, tables, just within the process of creating a form. Just when creating a form, you can do with your document everything you want.
And besides, the all form format specification makes it possible to implement other important features like electronic signature. Recipient roles customizations. Encryption and data fields, maybe entire file, entire form.
Why didn't we just leave Microsoft content controls as is? Which were already available in our documents. So, we came to the conclusion that these settings are simply not enough to organize a full featured work with the forms. And therefore, we greatly extended the field settings, what allows adjusting your forms as you need it.
We really would not compare all forms and Google Forms. Here we have absolutely different approach. Google Forms are designed for collecting data. It's more like a questionnaire or a survey.
And all forms are intended to create and work with complex document fields. And we will add that feature, I mean, collecting data, so a little bit later. But once again, that's not the main task for us. Our main task remains create and work with complex document forms.
Standard formats, we mean just doc hacks and PDF formats, didn't allow us to bring all our ideas into life. And that's why we decided to introduce our own formats, doc XF and Oform.
A necessary step to create forms that really can give you more. So, we do have two formats, doc X and Oform. Doc X is a form template you create. You can edit it, you can collaborate on it. Oform is the created ready to fill out form. You can share it with other users.
Let's look at the entire process of working with all of these forms and these mentioned above formats. To get started, create a form template in doc XF format. You can do that, create a template from blank or from an existing doc X file.
Additionally, you can use downloaded file from our library. So, then add the necessary form fields. Change the form field properties if you need to change them.
Preview your form to see what it looks like and save the ready form as the new Oform file. After saving, share your form with other users. And these users will fill it out and save the result as doc X or maybe PDF file.
To give users something like an entry point for this new functionality and to make work with the forms easier, we created a form library. Here we provide ready to fill out forms and templates which users and enterprises can take to save their time.
All forms in our library are absolutely free to use. You don't need to register or to install any additional software. You can just take the provided forms, fill them out and download in the desired format. So, you fill the form out online and download in one of three available formats.
One, doc XF. You download the form in doc XF in case you would like to adjust anything and need to edit it before filling out. Then, two Oform formats if you need to share it with other users for filling out.
And the third option, PDF. You can download the file as PDF for filling it later using any PDF editor. In case you can't find any form in our library, so you can create it by
yourself, then submit it to us at marketing at onlyoffice.com and get paid for it. This way you will also help other users. And for now, our ready to fill out form library has lots of forms to demonstrate the product functionality.
We are going to greatly extend the number of templates to make our library full-fledged marketplace where everyone can share their forms and get paid for it. And what else can we do and what we are planning?
In the first version of Oforms, we introduced basic fields. And of course, now with the next release, we are planning to add field presets to simplify the process of form creation. What else? We want to make our product even more secure by adding an
ability to encrypt the form, including encrypted parts of the document, basically for field data. And we are also planning to add recipient roles for field filling. This way we will be able to implement electronic signatures for signing both the entire document with all fields, as well as the certain field group.
Since PDF remains the established standard, we are planning to add an ability to edit and fill out PDF files. Moreover, we are going to introduce a new product, virtual channels.

You know, I don't think that Nextcloud is moving from OnTheOffice to Collabora. So if you go to Nextcloud Marketplace, you will be able to find a few products. And of course, it depends on what you need. So if you really need a good product, so it can be scaled, it can be used in any environment.
And that's really good for core editing. So you are able to install OnTheOffice, of course. The next one about changing certain lines and certain structures, documents.
Yeah, you know, that's exactly the case of using forms and of using content control. So here you are able to work with different documents stored in different places, just in a batch mode.
So you will be able to update just parts of the document and that's all. Did you ever think of integrating OpenBot?
Unfortunately, I'm not able to answer the question right now. So just because I don't know what is OpenBot, but I hope that we will find out some information. And you know, we really would like to get as many integrations as possible.
So why not? Of course, we would like to try if that's possible, of course. Are there plans for a metrics plugin? Yes, we do have plans to integrate metrics plugin. But right now we, as far as I know, in the last stage of testing is logging for a record chart.
And the next one will be metrics. The next question from Alex C.
All forms are regular docx documents or some custom extended format. That's a very good question. So as I said in my presentation, the main format for us is Office Open XML. And all forms, that's just regular, all XML file.
But here we would like to add some additional features to extend the functionality. But again, that's just all XML.
Is it possible to map all form fields to XML or JSON files? You know, you will be able to map the fields to anything. Absolutely.
So we are going to open API and, you know, think about that fields like you work with content controls. So every content control in the document, it has its own ID. And that content control and its content, of course, can be mapped to anything.
So to XML, to JSON, to, I don't know, to role files in your database. It's up to you. Only Office doesn't like open document formats at all. I've got a lot of broken ODT ODS files after editing them in Only Office.
You know, Only Office does like every document format in this big world. But if you have any kind of troubles with your open document files, just send these files to files at onlyoffice.com or just contact us using support at onlyoffice.com.
Select any type of, I don't know, communication with us and let us know about that issue. I'm absolutely sure that we will fix it.
Electronic signature. Which option is evaluating Only Office to get that feature done? At that moment, we do not currently have kind of examples for working with different providers. But as soon as we create a final version of the product and release it,
so you will get a whole API for working with, I don't know, with lots of providers, I'm sure. And you will be able to add any kind of digital signature to your document.
So here I'm talking about Office Open XML as well as about PDF. So as I said already, we do have plans to work with PDF in full.
Is there an option to automatically insert the form content provided by the user into a database? Absolutely the same structure as I said before. So if you map your form, your content control to any source,
so it may be used as a source but as well as destination, so you will be able to export the information from your field and insert it somewhere in your database, maybe somewhere else.
Again, we just will provide you with a whole API how to do that and you will be able to import and export the information. We are looking forward to integrate 7.0 features in Cryptquad. Thanks for making only Office Open Source.
